With Mutual Availability, you can easily create a booking page that shows times when you and your colleagues are both available. This setup is perfect for team interviews, sales calls or collaborative meetings!
This feature is available on our Professional and Team plans. In this guide, you will find how to:
- Create a booking page that checks availability for multiple people
- Automatically send calendar invites to all participants
- Set the meeting location for Zoom, Google Meet or Microsoft Teams calls
Create a booking page that checks availability for multiple people
1. Create a booking page and go to the "Who" section and click on the "Edit" button to choose the calendars that YCBM should check for availability.
2. Check the box next to the calendars you would like this booking page to check for availability, and deselect any calendars you don't want checked. When all the calendars are correctly selected, click Next and then Finish & save.
3. Next, go to the "And create new booking events on" section to select which calendar new bookings will be added to. This calendar will determine the timezone of the booking page, and will also send the calendar invitation to your booker. The rest of the participants will be added to the calendar event in the following step. When done, click Finish & save.
Automatically send calendar invites to all participants
- To add new bookings to everyone's calendar, click Additional options and go to the Calendar events section.
- Go to the Invite participants to your calendar event section, and add the email addresses of the team members who would like to have the booking added to the calendar event.
- Remove email addresses by clicking the x next to the email.
Please note, "All booking form emails" are all of the email addresses entered on your booking form, so your booker will also have this event automatically added to their calendar.
Set the meeting location for Zoom, Google Meet or Teams calls
When using Zoom, Google Meet, or MS Teams for your calls if you're part of a Team account, the native video conferencing tool integration will create the link from the Account Owner's account. If the Account Owner isn't being booked on this page, you will need to add a static link.
- Please head over to the What: Event detail & Location section
- Next, just click on Add additional location > Custom location and paste your static link in the Location field
- Click Add location to save.
Once the update is complete, YCBM will add the static link to the location field of your calendar event automatically.
