When you activate the Teams feature, YouCanBook.me will automatically add a set of notifications to the team member to confirm the booking, and to keep them in the loop when a booking is cancelled or rescheduled. However, you can add a new email notification to the team member that was booked under any part of the notification settings.
To add a new notification to a team member, select your booking page from the Dashboard and navigate to Notifications section.
Select when you'd like to send an email notification to the team member (after a new booking is made, if the booking is rescheduled, if the booking is cancelled, reminder before the booking, after the appointment is made).
Click the + to create a new notification. And then select Email Email to team member.
You can now customize this new notification to send to your Team Member who is receiving the booking.
- Edit the timing of when this notification will send
- Edit the name of this notification so you can easily identify it in the Notifications section
- Edit the timing of when this notification will send
- Edit the subject line of the email
- Edit the email content so that it is customized with the information your team member needs about this booking. Use shorthand codes from your booking form to pull in information your booker has provided.
Create a new SMS notification to a team member
Before adding a new SMS notification to the team member, make sure you have first purchased SMS credits on your Account page.
To send an SMS notification to the team member booked, you'll need to enter their mobile phone number in the Team member description box on the Calendar & Teams page.
This box can only contain a phone number to correctly send an SMS, and the phone number format must be +XXXXXXXX (a plus sign followed by the country code, and then the phone number). Phone numbers entered with dashes will not be accepted.
To conceal this number from your booker, ensure that the option "Booker automatically assigned team member" is selected in the "Who" section for Calendar & Teams.
On the booking form, delete the Team member description question.
Navigate to Notifications and select when you'd like to send a SMS notification (after a new booking is made, if the booking is rescheduled, if the booking is cancelled, reminder before the booking, after the appointment is made).
Click the + to create a new notification, and select SMS Reminder SMS to you.
Edit this newly created notification.
- Select when you want the SMS to send
- Edit the name of this notification so you can easily identify it in the Notifications section
- Select Custom phone number, This will pull in the mobile number of the team member that was booked. Please ensure that you add the shorthand {TEAM-DESCRIPTION} below the phone number, as shown in the screenshot after you finish step 3. This will help in retrieving the team member number accurately.
- Edit the message you want to send to the team member about this booking. Each SMS credit is 160 characters, and special characters may take more than one character. Check here to see how many credits your message will take.
