Generating unique links through Zoom
To see which Zoom account your team member has integrated, navigate to your Team Management page. Next to each team member, click the Manage button. You will see the Zoom account that team member has integrated with Zoom. Within your YouCanBook.me settings, this will be displayed as their YouCanBook.me account email.
Can my team members share a Zoom account?
Each team member should integrate a unique Zoom account. If they do not have an individual Zoom account, they can create a free one.
Generating unique links through Google Meet
No additional integration is required to generate unique Google Meet links. Your team members simply need to be integrated with a Google calendar for bookings.
Generate unique video conference link for team members
On any of your booking pages, navigate to Calendar & Teams and turn Teams On to link to a team members preferred video conferencing service. Under Calendar & Teams, toggle Teams On.
For each team member card you add to the Teams section, enter their name, email address, select the calendar their bookings should go into, and click on Video Conferencing.
Under the Event Location of the calendar event, select either Zoom or Google Meet. Then navigate back to Calendar & teams, and select each team members personal video conferencing account on their team member card from the dropdown list.
Creating a booking page for a single team member?
To connect to a team members individual Zoom or Google account you will still need to turn on Teams for their personal booking page. Check Booker automatically assigned team member under Calendar & teams to bypass the team member selection on the live booking page.
Sharing unique video conference details with booker
By default, the video conference link will be added to the calendar event automatically for the team member and booker. The video conference link will appear in the Location field on the calendar event, and the team member who has received the booking will be recognized as the host of the call.
To join the meeting, both the team member and the booker simply need to click the link in the calendar event.
Sharing the unique link in the calendar event description?
- To add the Zoom link to the body of the calendar event, use the shorthand code {ZOOM-LINK}. This shorthand code will be automatically hyperlinked on the calendar.
- To add the Google Meet link to the body of the calendar event, use the shorthand code {GOOGLEMEET-LINK}. This shorthand code will be automatically hyperlinked on the calendar.
Add the video conference link to the confirmation and reminder emails to the booker
- Navigate in your booking page settings to Notifications Actions
- Under the section "After new booking made" edit the Confirmation email to booker
- Add the shorthand code {ZOOM} or {GOOGLEMEET} to the body of the email. This shorthand code will be hyperlinked in the confirmation email sent to the booker.
- Under the section "Reminders before the booking" edit the Reminder email to booker
- Add the shorthand code {ZOOM} or {GOOGLEMEET} to the body of the email. This shorthand code will be hyperlinked in the confirmation email sent to the booker.
Want to modify the video conference hyperlink?
Use the format [my text]({ZOOM-LINK})
or [my text]({GOOGLEMEET-LINK})
. This will still send the unique video conference link to your booker with your unique text as the hyperlink.
