This feature is available on the Teams plan.
Once you've created templates on your Team Management account, you'll want to edit important settings to unify your branding across all of your team's booking pages and save your team valuable time on booking page setup.
- Set booking page availability
- Set custom duration options
- Customize Booking form
- Leverage the Team Member shorthand codes
- Customize the email notifications
- Set a booking page color / footer
Set booking page availability
In your custom template, you'll set how you want availability displayed for everyone who uses the template. Availability is set by navigating to Times & Availability Availability.
Repeating availability
Repeating availability is a standard working schedule, like Monday - Friday 8am - 5pm.
Everyone who receives this template will be available between bookings during the hours you set, and will have busy events on their calendar respected - so they won't be double booked. They can block out additional time on their booking page by adding busy events to their calendar.
To block out an entire day or week for a holiday, they will need to add an all-day busy event.
Calendar Managed Availability
Calendar Managed Availability allows the user to manage their availability directly on their calendar.
You'll set working hours on the booking page, and a key phrase to identify availability, ie "Sales calls"
Everyone who receives the template will need to use that key phrase on their calendar to identify days and times they want to take bookings by adding new free events with the key phrase as the title.
They can add or remove availability for booking by adding or removing those key-phrase events from their calendar.
Set custom duration options
You can establish consistent settings for all users you share the template with by configuring the settings within the Availability rules section of your template.
Booking duration
Adjust the grid display from 1 hour to any increment between 10 minutes and 24 hours. Then select the correct booking duration for all appointments. Alternatively, set a flexible booking duration, which allows the booker to select how much time they need based on calendar availability.
Appointment Types
When everyone who will receive this template offers the same type of service, you can also decide to setup appointment types, which allow you to set a fixed duration/price for various services offered.
Padding
Padding adds buffer time between bookings so the calendar owner is not booked back to back. This setting is tied to the grid display set on the booking page.
Min and Max booking notice
Set how soon before the start of the meeting you want to accept bookings (default is 2 hours). Decide if you want to limit how far in advance a booking can be made (default is 365 days).
Customize booking form questions
The booking form is all of the questions the booker will answer before securing the time slot. You can add as many questions as you want on this form. We recommend adding a Phone Number question if you want to send SMS reminders to the booker before the start of the meeting.
When your team receives this template, they can make edits to add new questions or delete existing ones.
Leverage the Team Member shorthand codes
The quickest way to setup booking pages is to activate the Teams feature under Calendar & teams.
Even if you're making a booking page for a single team member, this function will allow you to leverage the team member shorthand codes throughout the booking page setup.
Once you've activated teams, you can refer to the team member booked all throughout the booking page using these shorthand codes:
{TEAM-NAME} will display the team members name
{TEAM-EMAIL} will display the team members email
{TEAM-DESCRIPTION} will display anything in the Team member description field
{TEAM-IMAGE} will display the team members image you've uploaded.
For example, say you're creating a template for your customer success team to each have their individual booking page. By using the Teams feature, you can use the shorthand code {TEAM-NAME} in the booking page title, so each booking page created from this template will pull in the specific team member's name.
Customize the notifications
Under Notifications, you'll find all the emails that will trigger to the calendar owner, team member and booker at the time of booking.
Think of these emails as templates too. Add images and logos, format text, and customize the sending email address and more.
This is another great place to leverage the {TEAM-EMAIL} shorthand code to send the notification from the team member receiving the booking.
Set a booking page color / footer
Finally, click Styles & Appearance to pick a booking page color that fits your company's brand. You can enter a custom HEX color (formatted #xxxxxx) or pick a color from the color selector.
In the footer, add contact information that will apply to everyone who receives this template, like your company website or a general contact email.
Give your template a look through and make sure you've got all your edits saved. Once you share your template with your team members, and further changes to the template won't filter down to existing booking pages built off the template.
